Western States Lodging and Management is seeking a detail-oriented, systems-driven Process Support Specialist - Senior Operations to provide vital operational and compliance support across our Senior Living communities.

In this role, you will work directly with the Director of Systems and Processes to evaluate, improve, and maintain compliance with state and federal regulations, operational workflows, technologies, and standard operating procedures. You will play a key role in strengthening systems, enhancing training programs, and ensuring operational excellence across multiple communities.

Key Responsibilities

Compliance & Documentation

  • Assist with employee and resident paperwork, including state-specific compliance documents
  • Ensure documentation is accurately completed, stored, and maintained in accordance with state and federal regulations
  • Support auditing of documentation processes to guarantee regulatory compliance across communities

Systems & Technology Support

  • Support integration and utilization of key operational systems, including:
    • Relias
    • ALIS
    • ALISPay
    • Welcome Home
  • Ensure smooth functionality of training, resident care management, and billing systems across all communities
  • Develop user guides, FAQs, and training materials to support system adoption

Operational Process Improvement

  • Support development, implementation, and updates of operational processes and training programs
  • Monitor and revise processes based on company standards or regulatory changes
  • Assist in leading initiatives to streamline workflows, improve efficiency, and enhance performance
  • Continuously evaluate systems to identify opportunities for operational improvements and cost savings

Training & Cross-Functional Collaboration

  • Provide training, guidance, and ongoing support to community leaders and staff
  • Collaborate with Senior Living Operations, HR, Payroll, Accounting, and vendors
  • Support community managers in maintaining compliance with all licensing regulations

Qualifications

  • 5+ years of experience in operations, systems management, or general management in a healthcare or senior living setting
  • Experience in Independent Living, Assisted Living, Memory Care, Skilled Nursing, or Rehabilitation preferred
  • Strong understanding of state and federal regulations related to senior living licensure (or ability to quickly learn multi-state requirements)
  • Exceptional organizational and project management skills
  • Detail-oriented with a high degree of accuracy and follow-through
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and identify operational inefficiencies
  • Comfortable working cross-functionally with leadership, home office teams, community staff, and vendors
  • Enjoy working with and supporting the elderly population
  • Willingness and ability to travel as required

Working Environment

  • Primarily based at our Home Office
  • Travel to communities as needed
