A DAY IN THE LIFE OF A MAINTENANCE DISPATCHER

As a Maintenance Dispatcher, you provide support to the facilities management department with administrative, clerical, and general maintenance services in a competent and professional manner. Your friendly voice is a welcoming first impression as clients reach out with construction maintenance requests. Because you have a thorough knowledge of preventative maintenance programs, terminologies, and standard practices, you can answer questions with confidence.

With attention to detail, you perform clerical tasks. These include processing receipts, double-checking invoices, and tracking subcontractor insurance certificates. You perform follow-up inspections to verify the quality of all completed work. You enter all records pertaining to labor costs, materials, subcontractors, and other purchases into our CMMS (computerized maintenance management system) in order to ensure accurate billing. Additionally, you work to reconcile all receipts, invoices, and credit card charges with our billing software. QUALIFICATIONS FOR A MAINTENANCE DISPATCHER

Minimum requirements

  • High school diploma or GED equivalent
  • Valid driver's license with a clean driving record for the past 3 years
  • At least 2 years of proven and recent experience in the operation and administration of a CMMS (computerized maintenance management system) application software
  • Ability to read, write, and speak English clearly and effectively with excellent communication skills
  • Proficient in the use of Microsoft Office applications such as Word, Excel, and Outlook
  • Familiar with Adobe Acrobat software for creating/editing PDF files
  • General understanding/knowledge of OSHA rules/regulations for maintenance and construction is helpful.
  • Knowledge of common safety workplace and construction site practices and their practical application
  • Prior experience within a facility/building maintenance operations environment
  • Basic knowledge of construction materials, terminology, and supplies
  • Knowledge and skills in using hand tools and standard corded and cordless power tools safely
  • Ability to work independently with minimal direction
  • Good customer service skills with the ability to present a personable and professional demeanor
  • Reliable, punctual, versatile, well-organized, disciplined, and a self-starter
  • May be required to travel to remote areas of Alaska 2 or 3 times a year.

  • Read and interpret emails, work requests/orders, subcontractor reports, and other documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Write routine reports, analyze data/spreadsheets and create/write correspondence.

  • Math skills sufficient to accurately calculate figures and amounts such as proportions, percentages, area, circumference, and volume. (Add, subtract, multiply, divide, etc.)

Reasoning abilities sufficient to:

  • Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Deal with problems involving several variables in standardized situations.

Working conditions and physical requirements

Weather: Indoors - environmentally controlled; requires most or all work to be done inside. May occasionally be exposed to outdoor weather conditions.

Noise level: The work environment is usually that of a standard office atmosphere moderate, occasionally loud.

Description of environment: Office buildings with a standard office environment.

Physical requirements: The employee is regularly required to hear, stand, walk, use hands, and reach with hands and arms. The employee frequently is required to walk, climb, and balance.

The employee is occasionally required to sit, stoop, kneel, crouch, crawl; and talk. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

The employee is required to frequently lift and/or move up to 25 lbs. and occasionally up to 50 lbs.

Travel: Employees may travel up to 25% of the time throughout Alaska and/or remote locations and may be required to use alternative modes of transportation, including but not limited to snow machines, boats, small airplanes, and ATVs.
